Two shipments with the same scale weight can receive different air freight quotations. The space occupied, route, contents and requested services all matter. This guide explains what information to prepare and what to check in an offer, without assuming a universal rate or carrier formula.

Actual weight and packed dimensions

Actual weight is the weight recorded for the packed cargo. Dimensions describe the space it occupies. Measure the outside of each package after packing and include pallets or protective packaging where used. Bulky, lightweight packages can be priced differently from compact, heavy ones.

Why chargeable weight may differ

The weight used for pricing may take package volume into account. The applicable calculation, units, rounding and minimum charges depend on the carrier, service and quotation. Ask the team to state the basis used. Do not apply an online divisor to every shipment or treat a planning estimate as the confirmed charge.

A measurement worksheet

  • Package group or reference:
  • Number of identical packages:
  • Packed length × width × height, with units:
  • Weight per package, with units:
  • Provisional or confirmed measurement:

Use a separate line for each package size. For example, two cartons and one differently sized crate should not be described as three identical cartons. If a crate is added after the quote, provide revised dimensions before approval or handover.

Compare the scope, not only the total

When comparing offers, check that they use the same origin, destination, cargo details and service scope. Ask whether collection, packing, handling, clearance coordination and final delivery are included, excluded or separately arranged. Do not assume an air freight charge covers every stage.

Questions to ask before approval

  • Which weight and measurements were used?
  • Are the measurements final or subject to confirmation?
  • What charges are included and excluded?
  • How long is the quotation valid?
  • What changes would require a revised quote?
  • Which documents and acceptance checks remain outstanding?

Keep shipment information consistent

Changes in package count, packing, route, contents or readiness can affect the arrangements and quotation. Notify the team before handover. Keep a copy of the approved scope and the shipment details used to prepare it.

Review Rabel air freight services and the air freight enquiry checklist. For a shipment-specific review, request a quotation.
